Subscription & Billing
TrackOut offers four plans so you can pick the amount of fleet capacity and AI tooling that fits how you drive. Billing is handled through Stripe -- you manage payment methods, invoices, and cancellations through the Stripe-hosted portal linked from your account settings.

Free vs paid counters
On the Arrive & Drive free plan, OCR and AI recommendation counters are lifetime -- once you have used your 10 of each, they do not reset. On any paid plan, these counters reset on the first of every month.
Where to manage your subscription
Everything related to your plan lives on the Settings page:
- Your current plan, status, and renewal date
- Usage bars for the month's OCR scans, AI recommendations, research sessions, and AI imports
- Upgrade or Change Plan button to move between tiers
- Manage Billing button (paid plans only) that opens the Stripe customer portal
The Stripe customer portal is where you update your card, download invoices, change your billing address, and cancel or resume your subscription.
Upgrading or changing plan
- Go to Settings
- Click Upgrade (or Change Plan if you are already on a paid tier)
- Pick a plan in the comparison view
- You are redirected to Stripe Checkout to enter payment details
- After a successful payment you return to Settings with your new tier active
Changes take effect immediately. Upgrades are prorated by Stripe so you only pay the difference for the remainder of the current billing period.
Downgrades
Downgrading does not refund the current period. Your existing tier stays active until the end of the period you already paid for, then you move to the lower tier on the next renewal.
Usage limits and resets
Every feature that costs money for us to run (OCR, AI recommendations, research, AI smart import) has a usage counter attached to your subscription. The Settings page shows the current month's usage alongside the limit for your tier.
- Monthly counters (paid plans): OCR scans, AI recommendations, research sessions, AI imports. Reset at 00:00 UTC on the 1st of each month.
- Lifetime counters (Arrive & Drive only): OCR scans and AI recommendations. These never reset -- they are meant to let you evaluate the product before upgrading.
- Hard gates (always-on features): Car count, URL extraction, and web search. These are not counted by month -- your tier either has access or it does not.
When you hit a limit, the feature shows an Upgrade prompt inline instead of running. Your existing data is never affected -- only new usage is blocked.
Failed payments and grace period
If Stripe fails to collect your renewal payment (expired card, insufficient funds, bank decline), your subscription is marked Past Due and a 7-day grace period begins. During grace:
- Your plan continues to work normally -- all features remain available
- Stripe automatically retries the payment several times
- You will receive emails from Stripe about the failed payment
- The Settings page shows a banner indicating the past-due state
If payment succeeds during grace, the subscription returns to Active and no action is needed.
If the grace period ends without payment, the subscription is canceled and the account is downgraded to the Arrive & Drive free plan. You keep your data and can upgrade again at any time. Note that free-tier OCR and AI recommendation allowances are lifetime counters, so any usage you accrued on a paid tier still counts toward those caps after a downgrade.
Updating your card
You can update your payment method at any time through Manage Billing on the Settings page, which opens the Stripe customer portal.
Canceling your subscription
Open Manage Billing on the Settings page and cancel from the Stripe portal. Cancellation is scheduled for the end of the current billing period -- you keep full access to your paid tier until that date, and then automatically move to the free plan.
A canceled-but-still-active subscription is indicated in Settings with the Cancels on [date] label.
Reactivating before the period ends
If you change your mind before the cancellation takes effect, click Reactivate on the Settings page. Your subscription returns to normal with no lapse and no new charges.
Subscription lifecycle events
Behind the scenes, TrackOut listens to Stripe webhooks so your plan status stays in sync in real time. The events that drive your account state:
- Checkout completed -- new subscription activates, upgrade email sent
- Subscription updated -- tier or renewal date changes are reflected immediately
- Payment succeeded -- clears any past-due state from the previous cycle
- Payment failed -- starts the 7-day grace period
- Subscription deleted -- account is downgraded to Arrive & Drive
You do not need to do anything to trigger these updates -- the Settings page will reflect the latest state the next time you load it.
Security and data
- TrackOut never stores your full card number or CVV -- all card data is handled by Stripe
- Only the Stripe customer ID and subscription ID are stored on your account, used to look up state at renewal time
- Canceling your subscription does not delete your garage, service records, track days, or any other data. To delete your account entirely, use the Delete Account option at the bottom of the Settings page.
FAQ
Do I need a paid plan to use TrackOut?
No. The Arrive & Drive free plan covers the core garage, maintenance tracking, tire and parts inventory, track day logging, and a small allowance of OCR and AI recommendations so you can try receipt scanning and Crew Chief suggestions.
What currency are plans billed in?
USD. Stripe handles currency conversion if your card is issued in another currency.
Can I switch between plans at any time?
Yes. Upgrades take effect immediately (prorated for the remainder of the period). Downgrades apply at the end of your current billing period.
What happens to my data if I downgrade?
Nothing. All your cars, service records, tires, parts, and track days remain. You just lose access to tier-gated features (extra car slots, higher usage limits) until you upgrade again.
Where do I get receipts and invoices?
Click Manage Billing in Settings to open the Stripe customer portal. All past invoices are downloadable there.
