Service Records

Service Records track every maintenance task and repair performed on your car. Access them by selecting a car in the Garage and clicking the Service tab.


Quick-add form

At the top of the Service tab, a quick-add form lets you log a service record without opening a separate dialog. The form includes:

On desktop, the quick-add form appears as a compact row. On mobile, it is a stacked layout with larger touch targets.

Service type detection

When you type a description, TrackOut automatically detects the matching service type. For example, typing "Oil change" selects the OIL_CHANGE type. You can also select the type manually.


Service types

TrackOut includes a comprehensive list of service types covering routine maintenance and motorsport-specific tasks:

  • Fluids -- Oil change, coolant flush, brake fluid flush, power steering flush, transmission fluid
  • Brakes -- Brake pad replacement, brake rotor replacement, brake inspection
  • Filters -- Air filter, cabin filter, fuel filter, PCV valve
  • Engine -- Engine tuning, spark plug replacement, belt replacement, exhaust service
  • Drivetrain -- Clutch service, differential service, gearbox service
  • Suspension & Alignment -- Alignment check, suspension service
  • Body & Interior -- Detailing, headlight restoration, windshield replacement, window tint
  • Inspection & Registration -- Car inspection, emission test, registration renewal
  • General -- General service for anything that does not fit a specific category

Logging detailing work

Detailing -- paint correction, ceramic coatings, interior cleaning, wheel and tire care -- lives alongside every other service record. Set the service type to Detailing (or type a keyword like "ceramic coating" and let TrackOut auto-detect it) and the form expands with two extra fields:

  • Detailing type -- A dropdown for the kind of work performed, such as wash & wax, paint correction, ceramic coating, interior detail, or engine bay detail.
  • Products used -- A list of detailing products you applied, each with optional application areas (Paint, Wheels, Interior, Glass, Trim, Tires, Engine Bay, Other).

Click + New to add a product by name and brand, or choose one you have already logged from the existing consumables list. Products you create from a detailing record are saved to the car's Parts tab under a new Consumables & Detailing Products section and show how many times you have used them across every service record. Because detailing products are shared across every car in your garage, the same bottle of coating or polish can be reused on any car without duplicating it.

Moved from its own tab

Detailing used to live in a separate tab on each car. It now unifies with Service so everything you do to a car -- mechanical or cosmetic -- shows up in a single timeline with the same reporting, cost tracking, and linked-parts features.


Service history

Below the quick-add form, all service records are displayed in reverse chronological order (newest first). Each record shows:

  • Name -- What was done, shown prominently as the row title
  • Metadata line -- Date, mileage, and cost (when recorded) on a single compact line above the name
  • Service type -- The matching category (for example, Oil Change or Alignment), shown beneath the name
  • Linked parts -- Any parts from your Parts inventory attached to this record

Desktop layout

On larger screens, records appear as a dense ledger-style list with one row per record. Click a row to open inline editing, or use the Actions menu at the end of the row for secondary actions.

Mobile layout

On smaller screens, each record is a card with a tap-to-expand design. Tap a card to reveal notes, linked parts, and action buttons.


Inline editing

Click anywhere on a service record row to enter inline edit mode. (You can also open the Actions menu and choose Edit.) You can change:

  • Description / name
  • Mileage
  • Notes
  • Cost
  • Service type

Save with the checkmark button or cancel with the X button. Clicking outside the editing row also cancels the edit.


Receipt scanning

If your plan supports receipt scanning, you can upload a photo or PDF of a receipt directly from the Service tab. The receipt is processed using OCR to extract service details, which are then presented for review.

  1. Click the receipt upload button (camera icon with sparkle)
  2. Select a file (image or PDF)
  3. Wait for processing -- a spinner shows while OCR runs
  4. Review the extracted data in the Review Receipt modal
  5. Confirm to create a service record from the receipt

Duplicate detection

If you upload a receipt with the same filename as an existing document, TrackOut will ask whether you want to replace the existing one or keep both.

Deleting records

Open the Actions menu on a service record row and choose Delete. A confirmation dialog appears before the record is permanently removed.


Maintenance integration

Service records work together with the Maintenance Tracking system:

  • Rule matching -- When you log a service that matches an active maintenance rule (e.g., oil change every 5,000 miles), TrackOut offers to complete the corresponding reminder
  • Follow-up scheduling -- From any service record, you can schedule a follow-up reminder for the same service type
  • Rule editing -- If a maintenance rule exists for the service type, you can edit it directly from the service record row

Merging records

If you have duplicate or related service records (for example, multiple line items from the same shop visit imported separately), you can merge them into a single record.

  1. Open the Actions menu on any service record row and select Merge
  2. The view enters merge selection mode -- checkboxes appear on every row, with the row you clicked pre-selected as the primary record
  3. Check the additional records you want to merge into the primary
  4. Click Merge N Records in the floating bar at the bottom of the screen
  5. In the confirmation dialog, choose which record to keep as the primary and optionally rename it
  6. Click Merge to confirm

All linked parts, tires, brake pads, part installations, and service reminders from the merged records are moved to the primary record. The source records are then deleted.

This action cannot be undone

Merging permanently deletes the source records. Make sure you have selected the correct primary record before confirming.


CSV import

You can bulk import service records from a CSV file. Open the three-dot menu on the car header and select Import Service Records. See Maintenance Tracking for CSV format details and the import flow.
